RETREAT BOOKING TERMS & CONDITIONS

These Booking Terms & Conditions apply to all retreat bookings, including the Under the Stars retreats, offered by Serial Nomad, a sole proprietorship owned and operated by Rozanne Pilbeam (“we”, “us”, or “our”).

By booking a retreat, you agree to these Terms.

1. Reservation and Payment

Your space in a retreat is confirmed only upon receipt of payment or deposit.

We reserve the right to decline or cancel any booking at our discretion.

All payments are processed securely through third-party providers (e.g., Stripe or Squarespace Payments).

2. Cancellation and Refund Policy

We understand that life happens. If you need to cancel, the following policy applies:

More than 30 days before the retreat start date:
You will receive a full refund of the amount paid.

Less than 30 days before the retreat start date:
Payments are non-refundable.

No refunds will be provided for:

  • Failure to attend

  • Late arrival

  • Early departure

You may transfer your booking to another participant with prior written approval, provided the replacement participant agrees to these Terms and signs the required Liability Waiver.

We strongly recommend purchasing travel insurance if you are traveling to attend the retreat.

3. Minimum Participant Requirement

Retreats require a minimum number of participants.

If minimum registration is not met, we reserve the right to cancel the retreat. In that case:

  • You will receive a full refund of payments made.

  • We are not responsible for travel costs or other expenses incurred.

4. Changes to Program

We reserve the right to:

  • Modify the retreat schedule

  • Change facilitators

  • Adjust activities due to weather or safety concerns

Such changes do not entitle participants to a refund.

5. Force Majeure

We are not liable for cancellations, delays, or changes due to circumstances beyond our control, including but not limited to:

  • Severe weather

  • Natural disasters

  • Government restrictions

  • Illness outbreaks

  • Acts of God

In such cases, liability is limited to a refund of amounts paid.

6. Participant Responsibility

You are responsible for:

  • Ensuring you are physically and mentally fit to participate

  • Disclosing relevant health conditions

  • Carrying appropriate insurance

Participation is voluntary and at your own risk.

7. Chargebacks and Payment Disputes

You agree not to initiate chargebacks or payment disputes without first contacting us to seek resolution.

If a chargeback is initiated in violation of these Terms, you agree to reimburse us for any fees or costs incurred.

8. Liability Waiver Requirement

Participation in any retreat requires signing a separate Liability Waiver prior to attendance.

Failure to sign the waiver will result in cancellation of your booking without refund.

9. Governing Law

These Terms are governed by the laws of the Province of British Columbia and the laws of Canada applicable therein.

Any disputes shall be resolved in British Columbia.
