RETREAT BOOKING TERMS & CONDITIONS

These Booking Terms & Conditions apply to all retreat bookings, including the Under the Stars retreats, offered by Serial Nomad, a sole proprietorship owned and operated by Rozanne Pilbeam (“we”, “us”, or “our”).

By booking a retreat, you agree to these Terms.

1. Application, Reservation and Payment

Submitting an application does not guarantee a place on a retreat.

To complete your application, applicants are required to pay a $200 refundable deposit. This deposit reserves your place while your application is reviewed and an introductory phone call is conducted.

Once your application has been reviewed, we will contact you to arrange your introductory phone call. Applicants are responsible for responding to communications and arranging this call within 14 days of our first contact attempt.

If your application is accepted, your deposit will be applied toward the total retreat fee.

If we determine that Under the Stars is not the right fit for you, your deposit will be refunded in full.

If you choose to withdraw your application or fail to respond to our attempts to arrange your introductory phone call within 14 days, we may consider your application withdrawn. In these circumstances, a $50 application and administration fee will be retained, and the balance of your deposit will be refunded.

Your booking is confirmed only after your application has been accepted and any remaining balance has been paid in accordance with the payment schedule.

We reserve the right to decline or cancel any application or booking at our discretion.

All payments are processed securely through third-party providers such as Stripe or Squarespace Payments.

2. Cancellation and Refund Policy

If your application is not accepted:
Your deposit will be refunded in full.

If your application is withdrawn by you or deemed withdrawn due to non-response:
A $50 application and administration fee will be retained, and the balance of your deposit will be refunded.

If you cancel after your application has been accepted:

More than 30 days before the retreat start date:
You will receive a refund of all amounts paid, less a $50 application and administration fee and a 5% payment processing fee.

30 days or less before the retreat start date:
All payments are non-refundable.

No refunds will be provided for:

  • Failure to attend

  • Late arrival

  • Early departure

You may transfer your booking to another participant with prior written approval, provided the replacement participant meets our participation requirements, agrees to these Terms, and signs the required Liability Waiver.

We strongly recommend purchasing travel insurance if you are traveling to attend the retreat.

3. Minimum Participant Requirement

Retreats require a minimum number of participants.

If minimum registration is not met, we reserve the right to cancel the retreat. In that case:

  • You will receive a full refund, less a 5% processing fee.

  • We are not responsible for travel costs or other expenses incurred.

4. Changes to Program

We reserve the right to:

  • Modify the retreat schedule

  • Change facilitators

  • Adjust activities due to weather or safety concerns

Such changes do not entitle participants to a refund.

5. Force Majeure

We are not liable for cancellations, delays, or changes due to circumstances beyond our control, including but not limited to:

  • Severe weather

  • Natural disasters

  • Government restrictions

  • Illness outbreaks

  • Acts of God

In such cases, liability is limited to a refund of amounts paid, less a 5% processing fee.

6. Participant Responsibility

You are responsible for:

  • Ensuring you are physically and mentally fit to participate

  • Disclosing relevant health conditions

  • Carrying appropriate insurance

Participation is voluntary and at your own risk.

7. Chargebacks and Payment Disputes

You agree not to initiate chargebacks or payment disputes without first contacting us to seek resolution.

If a chargeback is initiated in violation of these Terms, you agree to reimburse us for any fees or costs incurred.

8. Liability Waiver Requirement

Participation in any retreat requires signing a separate Liability Waiver prior to attendance.

Failure to sign the required Liability Waiver prior to participation will result in cancellation of your booking without refund.

9. Governing Law

These Terms are governed by the laws of the Province of British Columbia and the laws of Canada applicable therein.

Any disputes shall be resolved in British Columbia.
